1. Master Intake Register (MIR) Creation

A comprehensive Master Intake Register (MIR) was developed to catalog every document across both offices.

This ensured:

  • 100% file traceability
  • Complete inventory before processing
  • No document left unaccounted for

2. Document Identification & Access

Team members accessed the MIR to retrieve their assigned files.

Each document was:

  • Mapped to its corresponding SmartAdvocate case folder
  • Verified against the target case destination
  • Prepared for review and classification

3. Document Review & Renaming

Each document was:

  • Opened and reviewed
  • Classified based on its legal content
  • Renamed according to the firm’s standardized naming conventions

All PHI and PII content was handled under strict confidentiality and data-handling protocols.

4. SmartAdvocate Folder Preparation & Upload

Documents were uploaded into their designated SmartAdvocate case folders.

The team:

  • Created folders and subfolders where needed
  • Applied standardized folder structures
  • Assigned the correct document type classification

5. MIR Tracking & Transparency

The Master Intake Register was updated continuously during processing.

Team members:

  • Logged their initials for accountability
  • Updated case folder progress
  • Flagged exceptions for supervisor review

This provided the client real-time transparency into project status.


Quality Control Framework

Draft n Craft implemented a three-tier quality control system aligned with Six Sigma / DMAIC principles to ensure consistent and defect-free output across all 33,396 processed files.

Tier 1 – Primary Processor (Self-QC)

Coverage: 100% of documents

Each processor reviewed their work after completing the document processing to prevent errors before submission.

Tier 2 – Senior Paralegal Review

Coverage: 10% sampling

Senior paralegals performed random quality checks to validate:

  • SOP compliance
  • Naming conventions
  • Metadata accuracy

Tier 3 – Manager Governance Audit

Coverage: 1% audit

Managers conducted final governance checks to validate:

  • Process stability
  • Statistical reliability
  • Overall output accuracy
